Users and dashboards: manage team members and dashboard access

How-to guidesLast verified:

Users & dashboards is where you see your team, change roles, and choose who can see each client dashboard. Open it from the left menu: under Studio, click Settings, then Users. Users & dashboards is a Studio feature.

What does 1 of 1 person has access mean?

Each dashboard row under Dashboards says how many people can open it. The second number is everyone in your workspace, counting invites that are not accepted yet. The first number is how many of them can open this dashboard.

So 1 of 1 person has access means you are the only person in the workspace, and you can see that dashboard. 2 of 3 people have access means one person in your workspace cannot see it. No one has access yet means nobody can open it so far.

Owners and Admins can open every dashboard. A pending invite counts as having access only when the invite named that dashboard. The faces on the right of the row are the people who can open it.

How do I choose who can see a client's dashboard?

To stop a teammate from seeing one client's dashboard, or to give them access, use Manage access.

  1. Under Dashboards, click Manage access on the dashboard's row.
  2. Dashboard access opens with everyone in the workspace. Check a person to give access. Uncheck them to take it away.
  3. Click Save access. The footer says Dashboard access updated.

Owners and Admins stay checked, and you cannot change them. A teammate who can see every dashboard shows All dashboards beside their name. Unchecking them takes away this dashboard only, and they keep the others. Pending invites cannot be changed here until they are accepted. Owners and Admins see Manage access.

What do I see in the Users list?

Each person shows their name, email and role. A Pending tag means the invite is not accepted yet. A 2FA off tag means two-factor is not marked as on or required for them. The line under the name says Active now, Last seen with how long ago, or Never signed in.

The count beside Users shows seats, such as 1 of 2 seats used. When it ends in full, every seat is taken. Invite teammate then says No seats left and tells you to add a seat in Billing.

How do I change someone's role?

Click the three-dot menu on their row, then Change role. Edit permissions shows their current role. Pick Admin or Standard User, then click Save changes. Only an Owner sees Owner in that list, and only an Owner can change another Owner's role. Owners, Admins and legacy Editors see the three-dot menu. The Billing role does not.

If a change is refused, Edit permissions shows why in red and stays open. "Every account needs at least one Owner. Make someone else Owner first." means you tried to change the only Owner. If you change your own role, the menu shows your new role straight away, with no reload.

If a change to who can see a dashboard is refused, the message says why.

How do I remove someone or require two-factor sign-in?

Click the three-dot menu on their row:

  • Require 2FA marks that person as needing two-factor sign-in. A note says Two-factor now required for them, and their 2FA off tag goes away. Sign-in does not ask them for a second step yet, because setting up two-factor authentication still shows Coming soon under Login & security.
  • Remove from workspace takes them out after you confirm. You cannot remove the Owner or yourself.

Where did the Team page go?

The old Team address now opens Users & dashboards in Settings. Everything about team members is on that one screen.
