Share link permissions

How-to guidesLast verified:

A share link has one permission: Viewer, Commentor, Approval or Editor. You pick it in the Share preview dialog, under Permission level, and it applies to everyone who opens that link. Viewer and Commentor work on the Free tier. Approval and Editor are Studio features.

  • Viewer: "Can view the preview only (read-only)". The line under the link reads "Anyone with this link can view only."
  • Commentor: "Can view and add comments". They can view, comment on a line, reply, and resolve threads. They cannot edit the ad.
  • Approval: "Client approves or requests revisions in one click". The line reads "Anyone with this link can view, comment, and approve."
  • Editor: "Can edit ad copy in the shared preview". The line reads "Anyone with this link can view and edit."

When Allow copying is on, the line adds "and copy it", such as "view and copy it".

A person on an Approval or Editor link can also change the preview's stage, such as Active or Paused. On a Viewer or Commentor link the stage pill only shows the stage. Clicking it opens no menu. Approval and Editor are Studio features.

  1. Open Share preview. Click Share with client, or Share settings under More options.
  2. Under Permission level, click Viewer, Commentor, Approval or Editor.
  3. The change saves on its own. The footer shows Saved. The same link now follows the new permission, so you do not need to send it again.

Switching a link away from Approval withdraws any approval request that is still open. Approval and Editor need Studio.

Which permissions are on my plan?

Viewer and Commentor work on the Free tier. On the Free tier, a Commentor link allows up to 3 guest comments per preview, and its line reads "Can view and add comments · up to 3 per preview on Free". Approval and Editor are Studio features. They are not available on the Free tier. Allow export is a Studio feature too.

I clicked Editor in the share dialog and it didn't change

Approval, Editor and Allow export are Studio features, and until you upgrade they carry a Studio tag. Clicking one does not change the link, it shows an upgrade box instead. It opens the Studio offer, titled Approval workflow for Approval and Unlock collaboration for Editor, and shows a side-by-side comparison of the two plans in the dialog. The link keeps its current permission.

If a workspace leaves Studio, an Approval or Editor link opens as a Commentor link. Your client can still look and comment, but cannot approve or edit.

What happens when my client hits the guest comment limit?

On the Free tier, once a preview has 3 guest comments, your client sees Comment limit reached, "This preview has reached its limit of 3 guest comments." They can click Notify Account Owner, which emails the person who created the preview, or an Owner or Admin of the workspace if that person is no longer active. The email is titled Comment limit reached on a shared preview. One such email goes out per preview every 24 hours. A second click in that time says The account owner was already notified recently. Studio has no guest comment limit.

Can my client copy the preview into their own workspace?

Only when Allow copying is on, in Share preview under Sharing options. It is off by default and works with any permission level on a single preview's link. A group link does not have it. Your client sees Make it yours. See Share a preview with your client for what happens when they click it.

Only when Allow export is on. In Share preview, under Sharing options, check Allow export, "Clients can download this preview". Your client then gets the Export button on the shared page. When it is off, their Export button is greyed out and says Export disabled by owner. Allow export is a Studio feature.

Clicking Comments shows Comments are not enabled, with Notify Account Owner. Clicking a line shows "This link is view-only. Ask the sender to turn on comments if you want to mark a line." Change the link to Commentor to let them comment.

No, a link does not expire on its own on the Free tier or on Studio. A link stops working when you regenerate it or delete the preview. While the preview is in Trash, its link shows This preview isn't available. Restore the preview from Trash and the same link works again.

Open Share preview and click Regenerate link. Confirm "Regenerating the URL will invalidate the old link. Continue?". The old link stops working, and the preview gets a new address. A link for a group of previews has no Regenerate link button.

The link was turned off or replaced with a new one, for example because you regenerated it or deleted the preview. The page says to ask the person who sent it for a fresh link. Send them the current link from Copy client link. A different load problem shows This share link isn't available instead.

If they see This client link is paused, the workspace that owns the preview is view-only. The link works again after the owner restores access in Billing.

A share link that cannot open now says why, instead of a general error.

  • This link no longer works: the link was turned off or replaced. Send the current link from Copy client link.
  • This client link is paused: the workspace that owns the preview is view-only. It works again once the owner restores access in Billing.
  • This preview isn't available: the link is wrong or incomplete, or the preview, group or dashboard it points to is in Trash or deleted. It says Ask the person who shared it for a new link, and never says the workspace needs to upgrade. Restore it from Trash, or copy the link again from Copy client link and resend it.
  • A short hiccup on our side is tried again on its own, twice, before the page gives up. If your client still sees an error, ask them to reload the page in a minute.

Yes. A link from another workspace opens with that link's permission, and its comment threads load, even while you are signed in to your own account. If you are a member of the workspace that owns the preview, the link opens with your own access instead.

No. There is no password-protected share link, and there is no white-label share link.
